Sending us your documents
Licenses, certifications, IDs and the other paperwork for your placement or contract.
Where to send them
Your recruiter or CI Health Group contact will give you an email address ending in @files.cihealthgroup.com. Email your documents there as attachments, from any email app.
Every file is checked for viruses, and only CI Health Group staff can open it, after signing in. If the name before the @ is mistyped, your email comes back to you. Please check that the part after the @ is exactly files.cihealthgroup.com.
What to attach
- These go straight through: PDF, Word (.docx), and photos (JPEG, PNG, HEIC from an iPhone, WEBP and TIFF).
- These arrive, but are reviewed before they can be opened, which can take longer: older Word files (.doc), Excel, PowerPoint, CSV and text files, ZIP and other archives, RTF, and Outlook (.msg) files. If you can, save them as a PDF first.
- Password-protected files can't be opened. Please send a copy without the password.
- Programs, scripts, web pages and Office files with macros are blocked.
How much you can send
About 30 MB of attachments per email, and up to 50 files. If you have more, send them in several emails. An email that's too big is returned to you by your email provider.
Please attach the files themselves. Links to Google Drive, iCloud, OneDrive, Dropbox, WeTransfer or Box aren't opened.
From your phone
- iPhone: in the Notes or Files app, Scan Documents turns paper into a PDF. When Mail asks about image size, choose Medium or Large rather than Actual Size, and don't use Mail Drop for big attachments: it sends a link instead of the files.
- Android: the Google Drive app's Scan button makes a PDF. Gmail turns attachments over 25 MB into Drive links, so send a few files per email.
- Outlook: attach files as copies, not as OneDrive links.
- Photograph documents flat, in good light, with all four corners showing.
What we keep
Attachments are deleted 30 days after they arrive. If our team releases a file after a review, it's kept 30 days from then. We keep a record of each email (your address, when it arrived and how many files it had) for 90 days. Every download by our team is logged.
Please don't put a Social Security number or other sensitive number in an email's subject line.
